Competition Terms & Conditions — “St. David’s Favourites” Restaurant Dish/Drink Entry

1. Promoter

  • The promoter of this competition is FOR Cardiff (Cardiff BID Ltd)
  • For all enquiries, contact: info@forcardiff.com

2. Overview

  • This competition invites restaurants, bars, cafés, and similar food service establishments (“Establishments”) to submit one dish or drink from their current menu that celebrates Welsh ingredients and flavours (an “Entry”).
  • Entries will be voted on by the public to determine the outcome as described in Section 9.

3. Eligibility

  • Open to legally registered food and drink establishments operating in Cardiff who are currently part of the FOR Cardiff membership (BID membership).
  • The person submitting on behalf of the Establishment must be 18+ and authorised to bind the Establishment to these Terms.
  • Not open to: employees of the Promoter (or their immediate families/households), agencies materially connected with the competition, or any parties involved in judging or administering the competition.

4. Entry Period & Menu Availability Window

  • Entry period: from Monday 19th January 2026 9am to Wednesday 4th February 2026 12pm (UK time).
  • Menu availability window: The submitted dish/drink must be available for customers to order at the Establishment at least from 6th February 2026 to 10th March 2026 inclusive.
  • If the item becomes unavailable (e.g., due to supply issues), the Establishment must promptly notify the Promoter. The Promoter may disqualify the Entry if the item is not reasonably available for the majority of the window.

5. Entry Requirements

  • One entry per Establishment. If multiple entries are received, only the first complete submission will be considered (unless the Promoter agrees otherwise in writing).
  • Entries must:

-Feature Welsh ingredients and/or flavours in a meaningful way.

-Be a current menu item (dish or drink) available for purchase in-venue during the availability window.

-Include required materials: name of dish/drinkingredient list highlighting Welsh componentsshort description, price bracketserving timesphoto(s) (if available) and any allergen information as required by law.

  • Alcoholic drinks entries must comply with all applicable licensing laws; service of alcohol must only be to persons 18+ with appropriate age verification (e.g., Challenge 25).
  • Entries must be original, lawful, and not infringe any third-party rights (including intellectual property, privacy, or publicity rights).
  • Prohibited content: hateful, defamatory, obscene, unsafe food practices, or content that could damage the reputation of the Promoter or the competition.

6. How to Enter

  • Submit via https://www.surveymonkey.com/r/StDavidsFavourites within the Entry Period.
  • No entry fee. Normal internet/data charges may apply.
  • Incomplete, illegible, late, corrupted, or otherwise non-compliant entries may be rejected at the Promoter’s discretion.
  • Proof of submission is not proof of receipt. The Promoter will notify accepted participating entries on Wednesday 4th February.

7. Moderation & Disqualification

The Promoter may moderate entries for compliance and may disqualify any entry that:

  • Breaches these Terms, applicable laws, or third-party rights;
  • Misrepresents the dish/drink (e.g., ingredients, availability, price);
  • Attempts to manipulate public voting (see Section 10), or
  • Brings the competition or the Promoter into disrepute.

8. Shortlisting (If Applicable)

  • The Promoter reserves the right to limit the number of public-vote finalists (e.g., Top 10–20). Shortlisting decisions are final.

9. Public Display of Entries

  • By entering, you acknowledge that the Promoter may publish your Entry (including images, descriptions, establishment name, address, and price) on the Promoter’s channels (website, social media, PR).
  • The Promoter may edit minor errors for clarity/format without altering the substance.

10. Public Voting

  • Voting period: Friday 6th February 2026, 12pm to Thursday 26th February 2026 12pm (UK time).
  • Voting will take place under reasonable anti-fraud measures.
  • Vote manipulation is prohibited (e.g., automated/paid vote farms, bot traffic, incentivised or bulk voting inconsistent with fair play). The Promoter may void suspicious votes, adjust totals, or disqualify entries where manipulation is suspected.
  • In the event of a tie, the Promoter may use:

1.a re-count or a short re-vote among tied entries; and/or

2. a panel decision applying the criteria in Section 8.

  • The Promoter’s decision on voting validity and final results is final.

11. Outcome & Prizes

  • Outcome: FOR Cardiff will contact the winner on Thursday 26th February 2026 using the contact details provided at the time of entry submission, and publicly announce the winner on its social media channels on Sunday 1st March 2026.

Prize(s):

  • Recognition: The Winner will receive official recognition across Promoter channels and may be featured in press releases, paid media pieces and out of home marketing. No monetary value is attached.
  • Prizes are as described; no cash alternative unless required by law. Non-cash prizes are non-transferable and non-assignable.
  • If a winner cannot be contacted within 2 days or is ineligible, the Promoter may award the prize to the next highest-ranked entry.

12. Intellectual Property & Usage Rights

  • You (and/or your licensors) retain ownership of your Entry content.
  • By submitting an Entry, you grant the Promoter a worldwide, royalty-free, non-exclusive, transferable licence (with right to sub-licence to media and campaign partners) to use, reproduce, edit, adapt, publish, translate, display, and distribute the Entry content (including images, name of dish/drink, Establishment name and location) in connection with the competition and its promotion for a period of 3 years from submission.
  • You warrant you have obtained all necessary permissions (e.g., from photographers or staff depicted) and that the Entry does not infringe third-party rights.

13. Publicity

  • Winners agree to participate in reasonable publicity (e.g., interviews, photos, case studies) without further compensation, unless prohibited by law.
  • The Promoter may use Establishment name, logo (if provided), images, and location in promotional materials.

14. Food Safety, Allergen & Pricing Compliance

  • Establishments must comply with all applicable food safety and allergen information laws (including clear communication of allergens to consumers) and maintain accurate pricing during the availability window.
  • Alcoholic drinks: service to 18+ only; comply with licensing conditions, responsible service, and promotional restrictions.
  • The Promoter may request evidence of compliance and may disqualify for non-compliance.

15. Data Protection (UK GDPR)

  • The Promoter is the data controller for personal data provided with Entries.
  • Personal data will be processed to administer the competitionverify eligibilityfacilitate judging/voting, and publicise the outcome.
  • Lawful bases include legitimate interests (running the competition, ensuring integrity) and consent (for optional marketing communications).
  • Data may be shared with service providers (e.g., voting platforms, PR agencies) under appropriate contracts, and may be transferred outside the UK subject to safeguards.
  • Data will be retained for up to 18 months post-competition (or longer for published materials and archival purposes).

16. Liability

  • To the fullest extent permitted by law, the Promoter is not liable for:
  • entries lost, delayed, corrupted, or misdirected;
  • technical failures, unauthorised access, or network issues;
  • any loss, damage, or injury arising from participation, except where caused by the Promoter’s negligence or fraud.
  • Nothing in these Terms limits liability for death or personal injury caused by negligence, fraud, or other liability that cannot be excluded by law.

17. Cancellation/Variation

  • The Promoter may amend, suspend, or cancel the competition where reasonably necessary (e.g., unforeseen circumstances), while attempting to minimise any adverse impact on participants. Material changes will be communicated via email.

18. General

  • Entries must comply with all applicable laws.
  • Any taxes, fees, or additional costs associated with participation or prizes are the responsibility of the Establishment unless stated otherwise.
  • If any part of these Terms is found invalid, the remainder remains in effect.
  • No waiver of any breach shall be deemed a further or continuing waiver.

19. Governing Law & Jurisdiction

  • These Terms and any dispute or claim (including non-contractual disputes or claims) arising out of or in connection with them shall be governed by the laws of England and Wales, and subject to the exclusive jurisdiction of the courts of England and Wales.
